For companies larger than 9 employees, LeaveBoard provides implementation and onboarding assistance in 10 easy steps. As soon as we receive the data regarding your employees we will setup your account according to the organizational structure and time-off policies.

The 10 steps regarding the transition to LeaveBoard

Step 1: Importing the employees
Please send us a .xls file with the following header: Employee's name, employee's first name, email, team, and team manager (who will be the time off approver). The sheet will help us understand how to set up the company structure and the approval flows within your company. Once we receive this list we will enter all the employees in the database (without inviting them to the platform at this stage).

Step 2: Setting up company data
The fiscal information of your organization: Full company name, VAT number, address, the legal representative of the organization, etc. This data will appear on the invoices.

Step 3: Setting time off types and allowances
By default, we have three types of leave: Vacation, sick and unpaid leave. There are companies that want to add other types of leaves, such as maternity or work for home is possible. The allowances for each type of leave can be personalized.

Step 4: Importing official holidays
This helps a more efficient calculation of the days of holidays that the employees are requesting. The holidays are added to each company headquarters.

Step 5: Configure the employee allowance
Depending on the time-off policies in your company, you need to setup the allowance for each type of leave.
Additionally, depending on the employment contract some employees might have some additional vacation days than others. The allowances can be personalized per employee.

Step 7: Setting the roles
Within LeaveBoard there are 3 types of roles: employee, manager, and administrator.
Our recommendation is that the General Manager and the HR managers receive administrator access. The staff who are in charge of a team or supervise certain team members receive manager access. Employees will have a normal user account. Each type of role has a different access level on the functionality of the software.

Step 8: Setting the permission
If there are multiple teams, access to the team calendar/reports can be restricted to the team only. By default, all employees have access to the entire company calendar.

Step 9: Complete the implementation
After checking the details, all employees will be invited to the platform. An account activation email will be sent to all employees.

Step 10: Billing
We offer a 14 day trial period for PRO accounts. After this period, it is necessary to pay the subscription. Payment can be made by bank transfer or by direct card from the software to the company section. The invoice is accessible to administrators at any time from the app.
