How to set up LeaveBoard?

LeaveBoard is a Cloud-based HR and leave management software that is easy to use in small and medium businesses. By following these steps, you will start saving substantial time with HR administration and leave management.

The 10 steps regarding the transition to LeaveBoard

Step 1: Start the collaboration

To start using LeaveBoard, you just need to create an account, and then you can just use it without any downloads.

For companies larger than 9 employees, LeaveBoard provides implementation and onboarding assistance in 10 easy steps. We recommend that we set up an interactive tour to discuss your HR automation needs and current challenges.

Step 2: Import employee data

Enter the employee information in our Excel template with employee data. Fill the employee data tab with one employee per row. The highlighted fields are mandatory for each employee: first name, last name, email, hire date, and supervisor. The sheet will help us understand how to set up the company structure, and the approval flows. Once we receive this list, we will enter all the employees in the database without inviting them to the platform at this stage.

Depending on the size of your business, the account setup takes 1-2 business days from our side.

At this phase, we will work closely with your team to ensure that all your employees will have their accounts complete and correct.

Step 3: Set time-off policies and leave types

By default, we have three types of leave: vacation, sick and unpaid leave. Some companies want to add other types of leaves, such as maternity or work for home. The system permits the customization of the amount of yearly allowance for each type of leave. Moreover, you can edit each type of leave's names as they are different on a country-by-country basis. Please fill in the leave data in the second sheet of the Excel template provided.

Step 4: Configure the employee allowance

Depending on your company's time-off policies, the system permits you to edit the employee allowance for each type of leave. Some might have already taken days off since the year has started; others might have carried over days from the past year. And depending on the employment contract, some employees might have some additional annual vacation days than others.

Step 5: Set up the company data

Provide your organization's fiscal information: Full company name, VAT number, address, the legal representative of the organization, and phone number. The company details will appear on the invoices.

Step 6: Import official holidays

By adding public holidays to the system, managers will benefit from the correct calculation of the vacation days that the employees are requesting. The holidays are added to each of the company's offices and help especially multi-country companies. In this way, their employees will stay compliant with the local public holidays.

Step 7: Set employee access levels

Within LeaveBoard, there are 4 access levels: user, manager supervisor, and administrator.

We recommend that the general manager and the HR managers receive administrator access. The staff who are in charge of a team or manage individual team members receive manager access. Accountants and COO usually get supervisor access. Employees will have a normal user account. Each type of role has a different access level on the functionality of the software.

Step 8: Set permissions

If there are multiple teams/offices, the solution can restrict the permission access to the team calendar/reports to the team/office. By default, all employees have permission to view the entire company calendar, and managers can see reports with the leave details of the employees they are supervising.

Step 9: Implementation complete and rollout

Once the account has been configured and personalized according to your business needs and HR policies and validated by your team, each of your employees will receive an invitation and will start benefiting from a new way of work and multiple automation.

Step 10: Billing

We offer a 14-day trial period for PRO accounts. After this period, it is necessary to pay for the subscription. Payment can be made by bank transfer or by direct card from the software to the company section. The invoice is accessible to administrators at any time from the app.
